A great welcome packet sets expectations from day one, reduces questions, and starts the landlord-tenant relationship on the right foot. Here's what to include.
Welcome message
A brief, friendly introduction. Include your name, the best way to contact you, your typical response time, and your preferred method for non-emergency communication.
Property information
Unit address and unit number, parking space assignment, mailbox number and location, storage unit (if any), laundry room location, trash and recycling pickup days and bin locations, pet waste station location.
Key contacts
Your contact info for non-emergencies, emergency maintenance contact (if different), building manager contact, HOA contact (if applicable), utility company contact info for each utility.
How to pay rent
Your preferred rent payment method and platform, due date, grace period, late fee policy, and where to send checks if applicable. Be explicit — this prevents confusion that leads to late payments.
Maintenance request process
How to submit a maintenance request, what qualifies as an emergency vs. routine request, response time expectations, and tenant responsibilities for minor items (replacing light bulbs, batteries, etc.).
House rules and policies
Guest policy, noise hours, common area rules, smoking and vaping policy, grilling policy, holiday decoration policy (if any), parking rules, and any community-specific rules.
Move-in inspection instructions
Instructions for completing the move-in inspection form, deadline for returning it to you, and a reminder that it protects their deposit.
Utility setup checklist
List of utilities the tenant needs to set up in their name with provider names and account setup instructions.
Format tips
- Keep it under 3–4 pages — longer packets don't get read
- Use headers and bullet points, not dense paragraphs
- Send digitally (email or tenant portal) so it's searchable
- Include a "questions?" line at the bottom with your contact info
