How to Prepare Rental Records for an Accountant

Reconcile before you send

Multi-property and ownership quirks
If you co-own a property, state ownership percentages and who paid which expenses. If one LLC owns multiple doors, still provide unit-level totals when leases and deposits differ. Shared insurance or umbrella premiums need an allocation note so the CPA does not invent a split.
Timing
Send the package when books are closed through December 31 and documents have arrived. Form 1098s often land in January. Early incomplete dumps create duplicate work. Agree a delivery date with your CPA during Q4.
After they file
Save the final return excerpts (Schedule E, depreciation) back into your property files. Next year’s handoff starts from that baseline. Update your book categories if the CPA reclassified large items so you do not repeat the same mistake.

If you paid unincorporated vendors above IRS thresholds, your CPA may need names, addresses, and totals. Export a vendor spend report by calendar year and keep W-9s where required. Do not wait until the accountant discovers a $15,000 handyman with no paperwork.
