Rental Property Document Checklist: What Every Landlord Needs to Keep
A complete checklist of documents every landlord should keep on file — leases, inspections, financial records, tax documents, and insurance.
Good document management is the foundation of professional landlording. If you ever face an eviction, a security deposit dispute, or a tax audit, the outcome often comes down to what you can and can't document.
Legal & lease documents
- Signed lease agreement (keep for 3+ years after tenancy ends)
- Lease renewals and amendments
- Move-in and move-out inspection reports with photos
- Security deposit receipt and return documentation
- Notices to tenant (lease violations, rent increases, entry notices)
- Any written communications with tenants about repairs or disputes
Tenant screening records
- Rental application (keep per state law, usually 1–3 years)
- Background and credit screening reports
- Income verification documents (pay stubs, bank statements)
- Reference checks
- Denial letters if applicable (required by FCRA)
Financial records
- Rent receipts and payment records for every month
- Bank statements for rental accounts
- All expense receipts and invoices by category
- Mortgage statements (Form 1098 for interest)
- Property tax statements
- Schedule E filings and prior tax returns
Property & insurance documents
- Deed and title documents
- Property insurance declarations and policy
- Flood insurance policy if applicable
- HOA documents, rules, and fee statements
- Utility account information
- Warranties on appliances and systems
Maintenance & repair records
- Work orders and contractor invoices for all repairs
- Inspection reports (HVAC, plumbing, electrical)
- Permits for any improvements
- Appliance manuals and warranty cards
- Annual safety inspection records (smoke detectors, CO detectors)
Go paperless
Scan or photograph everything and store it in a cloud folder organized by property and year. Use naming conventions like 123MainSt_2025_Lease.pdf. Back up to at least two locations. Physical paper in a single filing cabinet is a liability.
